Admission Policies

1. GENERAL
This General Admission Policy (“Policy”) sets out the terms and conditions governing admission to and attendance at AGRINEXT ASIA (“Event”).
This Policy applies to all visitors, trade buyers, delegates, guests, speakers, media representatives, sponsors, exhibitors’ representatives and other persons attending the Event (“Attendees”).

By registering for, entering or attending the Event, each Attendee acknowledges that they have read, understood and agreed to comply with this

Policy, together with any applicable venue rules, safety requirements and instructions issued by NEX MARKETS SDN BHD (“Organiser”).

2. EVENT PURPOSE AND ADMISSION
The Event is organised as a professional trade exhibition and business networking platform.

Unless otherwise stated, admission is intended primarily for:

1. Trade professionals;
2. Business owners and representatives;
3. Buyers and procurement professionals;
4. Importers and exporters;
5. Distributors and retailers;
6. Manufacturers;
7. Industry professionals;
8. Government and industry representatives;
9. Investors and business partners;
10. Media representatives; and
11. Other persons approved by the Organiser.

Admission may be restricted to trade and business professionals depending on the nature of the Event.

The Organiser reserves the right to determine eligibility for admission.

3. REGISTRATION REQUIREMENT
All Attendees are required to complete the applicable Event registration process before entering the exhibition halls.

Registration may be completed through:

1. The official Event website;
2. Online registration platforms;
3. An authorised registration partner;
4. On-site registration counters; or
5. Other registration channels approved by the Organiser.

Attendees must provide complete and accurate information during registration.

The Organiser reserves the right to reject, cancel or suspend a registration where information provided is false, misleading, incomplete, fraudulent or otherwise unsuitable for admission.

4. ADMISSION IS SUBJECT TO APPROVAL
Registration does not automatically guarantee admission. The Organiser reserves the right to refuse admission to any individual, organisation or group where reasonably necessary, including where:

1. The registration requirements have not been satisfied;
2. The information provided is inaccurate or misleading;
3. The individual does not meet the Event’s admission criteria;
4. The individual presents a security, safety or operational concern;
5. The individual breaches this Policy;
6. The individual engages in disruptive or inappropriate conduct; or
7. Admission is otherwise restricted by the Organiser or venue.

This approach is consistent with admission policies commonly used by Malaysian trade exhibitions.

5. ADMISSION BADGE
A valid Event badge, pass, QR code, e-badge or other admission credential may be required for entry.

Attendees must:

1. Wear or display their Event badge as instructed;
2. Keep the badge secure;
3. Present the badge when requested;
4. Not alter, duplicate or reproduce the badge; and
5. Not permit another person to use their badge.

Event badges are personal and non-transferable, unless expressly authorised by the Organiser.

The Organiser may cancel or deactivate a badge that has been misused, transferred, duplicated or obtained fraudulently.

6. IDENTITY VERIFICATION
For security and registration purposes, the Organiser or venue may request reasonable identification or supporting documentation.

Attendees may be required to present:

1. Passport;
2. National identification document;
3. Driving licence;
4. Company identification;
5. Business card;
6. Registration confirmation; or
7. Other appropriate identification.

Failure to provide reasonable verification where required may result in refusal of admission.

Real-name registration and presentation of valid identification are also used by certain Malaysian exhibition organisers to support a safe and secure exhibition environment.

7. EVENT OPENING HOURS
The Event will operate during the published opening hours.

Opening Hours:

• [25 JUNE 2027]: [10:00AM – 18:00PM]
• [26 JUNE 2027]: [10:00AM – 18:00PM]

The Organiser reserves the right to amend the Event opening hours where reasonably necessary.

Attendees should refer to the official Event website or Event communications for the latest information.

8. AGE REQUIREMENT
Unless otherwise stated, the Event is intended for business and trade professionals.

Persons under [18] years of age may not be permitted to enter the exhibition halls.

Where minors are permitted, they must remain under the supervision of a parent, guardian or responsible adult at all times.

The applicable age requirement may vary depending on the Event and venue.

9. DRESS CODE
Attendees are required to dress appropriately for a professional business environment.

Unless otherwise stated, smart casual or business attire is recommended.

The Organiser may refuse admission to persons wearing attire that is considered inappropriate, unsafe or unsuitable for the Event environment.

Depending on the Event and venue, prohibited attire may include:

1. Singlets;
2. Very short shorts;
3. Slippers;
4. Inappropriate beachwear; or
5. Other attire considered unsuitable by the Organiser or venue.

Specific dress requirements may be imposed for particular Events. Malaysian trade exhibitions commonly include business-attire requirements as part of their admission conditions.

10. SECURITY SCREENING
For safety and security purposes, Attendees may be subject to reasonable security screening upon entry or while inside the Event.

Security procedures may include:

1. Bag inspection;
2. Visual inspection;
3. Verification of admission credentials;
4. Identification checks;
5. Security screening; and
6. Other reasonable security measures.

Attendees must comply with reasonable instructions issued by authorised security personnel and the Organiser.

11. PROHIBITED ITEMS
Attendees must not bring into the Event any item that may reasonably present a safety, security or operational risk.

Prohibited items may include:

1. Weapons or dangerous objects;
2. Explosives;
3. Flammable or hazardous materials;
4. Illegal substances;
5. Items intended to cause injury;
6. Unauthorised drones;
7. Unauthorised large equipment;
8. Unauthorised promotional materials;
9. Items obstructing aisles or emergency exits;
10. Items prohibited by the venue; and
11. Any other item reasonably determined by the Organiser or venue to present a risk.

The Organiser may refuse entry to any person carrying a prohibited item.

Dangerous or hazardous objects are also commonly prohibited under exhibition venue and organiser rules in Malaysia.

12. SMOKING AND VAPING
Smoking, vaping and the use of electronic cigarettes are subject to applicable Malaysian laws and venue regulations.

Where the Event venue is designated as smoke-free, smoking and vaping are prohibited within the venue.

Attendees must comply with all applicable venue rules and legal requirements.

13. FOOD AND BEVERAGES
Food and beverages may only be consumed in areas designated by the venue or Organiser.

Outside food and beverages may be prohibited within exhibition halls.

Any food sampling, product demonstration or distribution conducted by exhibitors must comply with the requirements of the Organiser and venue.

14. PHOTOGRAPHY, FILMING AND RECORDING
Photography, video recording, livestreaming and other forms of recording may take place during the Event.

By attending the Event, Attendees acknowledge that they may appear in photographs, video recordings or other Event-related media.

The Organiser may use such material for legitimate:

1. Event documentation;
2. Publicity;
3. Marketing;
4. Promotional;
5. Media;
6. Social media; and
7. Corporate communication purposes,
8. subject to applicable laws and any required notices or consents.

Attendees who do not wish to be photographed or recorded should notify the Organiser’s Event team where reasonably practicable.

15. PROFESSIONAL PHOTOGRAPHY AND RECORDING
Professional photography, filming, commercial recording, broadcasting, livestreaming or media production may require prior approval from the Organiser.

The Organiser may restrict recording activities where they:

1. Interfere with Event operations;
2. Disturb exhibitors or other Attendees;
3. Create safety risks;
4. Obstruct access routes;
5. Capture confidential information; or
6. Otherwise breach Event rules.

16. EXHIBITOR INTERACTION AND BUSINESS SOLICITATION
Attendees are encouraged to engage professionally with exhibitors and participate in legitimate business discussions.

Attendees must not:

1. Disrupt exhibitors;
2. Conduct unauthorised sales activities;
3. Distribute promotional materials without approval;
4. Conduct unauthorised surveys;
5. Collect personal data without appropriate authority;
6. Photograph confidential exhibitor information without permission;
7. Interfere with another exhibitor’s business activities; or
8. Engage in aggressive or inappropriate solicitation.

Unauthorised commercial activity may result in removal from the Event.

17. BUSINESS MATCHING AND NETWORKING
Where business-matching or networking programmes are available, participation may be subject to additional registration and eligibility requirements.

Participants are expected to:

1. Provide accurate business information;
2. Attend confirmed appointments where reasonably possible;
3. Conduct themselves professionally;
4. Respect other participants; and
5. Use information obtained through the programme only for legitimate business purposes.

The Organiser does not guarantee that participation will result in any particular business relationship, meeting, transaction or commercial opportunity.

18. PERSONAL DATA
Personal data collected during Event registration and participation will be processed in accordance with the Organiser’s Event Registration Privacy Notice and applicable Malaysian data protection laws.

Personal data may be processed for:

1. Registration;
2. Badge issuance;
3. Access control;
4. Event administration;
5. Event communications;
6. Business matching;
7. Security;
8. Surveys;
9. Marketing where permitted; and
10. Other purposes described in the applicable Privacy Notice.

The Personal Data Protection Act 2010 applies to the processing of personal data in connection with commercial transactions in Malaysia.

19. BADGE SCANNING AND LEAD RETRIEVAL
Where badge scanning or lead-retrieval services are available, Attendees acknowledge that scanning their badge may result in relevant registration information being provided to the exhibitor, sponsor or authorised party conducting the scan.

The recipient may use the information for legitimate business follow-up purposes, subject to applicable law and its own privacy obligations.

Attendees should review any information or notice displayed at the relevant exhibitor booth before voluntarily presenting their badge for scanning.

20. CONDUCT
All Attendees must conduct themselves professionally and respectfully.

The following conduct is prohibited:

1. Harassment;
2. Threatening behaviour;
3. Violence;
4. Intimidation;
5. Discrimination;
6. Abusive or offensive behaviour;
7. Disorderly conduct;
8. Damage to property;
9. Unauthorised access to restricted areas;
10. Disruption of Event activities;
11. Unauthorised commercial activity; or
12. Any conduct that may endanger or adversely affect other persons or property.

The Organiser may take appropriate action, including removal from the Event, where this Policy is breached.

21. HEALTH, SAFETY AND EMERGENCY PROCEDURES
Attendees must comply with all reasonable health, safety and emergency instructions issued by:

1. The Organiser;
2. Venue management;
3. Security personnel;
4. Emergency personnel; or
5. Relevant authorities.
6. Attendees must not obstruct:
7. Emergency exits;
8. Fire-fighting equipment;
9. Emergency access routes;
10. Aisles; or
11. Other designated safety areas.

In the event of an emergency, Attendees must immediately follow evacuation and safety instructions.

Venue-specific safety rules may apply in addition to this Policy.

22. ACCESSIBILITY
The Organiser aims to provide an accessible and inclusive Event environment.

Attendees requiring accessibility assistance are encouraged to contact the Organiser before attending the Event.

Accessibility arrangements remain subject to the facilities and requirements of the Event venue.

23. PERSONAL BELONGINGS
Attendees are responsible for their own personal belongings.

The Organiser does not accept responsibility for loss, theft or damage to personal belongings except to the extent that such liability cannot lawfully be excluded.

Attendees should not leave valuable items unattended.

Lost property should be reported to the Organiser or venue’s designated service counter.

24. EVENT CHANGES
The Organiser reserves the right to make reasonable changes to:

1. Event dates;
2. Event venue;
3. Opening hours;
4. Event programme;
5. Speakers;
6. Exhibitors;
7. Floor plans;
8. Conference sessions;
9. Access arrangements; and
10. Other Event arrangements.

The Organiser will endeavour to provide reasonable notice of material changes where practicable.

25. POSTPONEMENT OR CANCELLATION
The Organiser may postpone, reschedule or cancel the Event where reasonably necessary, including due to:

1. Venue-related circumstances;
2. Government requirements;
3. Public safety concerns;
4. Natural disasters;
5. Fire;
6. Flood;
7. Epidemic or pandemic;
8. Civil unrest;
9. War;
10. Terrorism;
11. ndustrial disputes;
12. Utility failure;
13. Transportation disruption; or
14. Other circumstances beyond the Organiser’s reasonable control.

The Organiser will provide reasonable information regarding any material change where practicable.

26. FORCE MAJEURE
The Organiser shall not be liable for any delay, postponement, cancellation or failure to perform resulting from circumstances beyond its reasonable control.

Nothing in this Policy shall exclude or limit any liability that cannot lawfully be excluded or limited under Malaysian law.

27. REFUSAL OF ADMISSION AND REMOVAL
The Organiser reserves the right to refuse admission to or remove any Attendee who:

1. Breaches this Policy;
2. Provides false or misleading information;
3. Uses a fraudulent or invalid admission credential;
4. Presents a security or safety risk;
5. Engages in disruptive or inappropriate conduct;
6. Enters restricted areas without authorisation;
7. Fails to comply with reasonable instructions; or
8. Otherwise acts in a manner that the Organiser reasonably considers inappropriate for the Event.

The Organiser may refer serious incidents to venue security or the relevant authorities where appropriate.

28. EXHIBITOR AND EVENT AVAILABILITY
The Organiser does not guarantee the presence or availability of any particular:

1. Exhibitor;
2. Sponsor;
3. Speaker;
4. Product;
5. Service;
6. Conference session; or
7. Event feature.

The Event programme and exhibitor participation may change where reasonably necessary.

29. INTELLECTUAL PROPERTY
Attendees must not reproduce, distribute, commercially exploit or otherwise use without permission:

1. Event logos and branding;
2. Exhibitor trademarks;
3. Presentations;
4. Conference materials;
5. Product demonstrations;
6. Photographs;
7. Videos;
8. Written materials; or
9. Other intellectual property belonging to the Organiser, exhibitors, speakers or other rights holders.

30. VENUE RULES
All Attendees must comply with the rules, regulations, policies and safety requirements of the Event venue.

Venue requirements may include additional restrictions relating to:

1. Security;
2. Fire safety;
3. Smoking and vaping;
4. Food and beverages;
5. Photography;
6. Access;
7. Parking;
8. Emergency procedures;
9. Prohibited items; and
10. General conduct.

Where a mandatory venue requirement conflicts with this Policy, the applicable venue requirement shall prevail to the extent necessary.

31. NO WARRANTY REGARDING EXHIBITOR PRODUCTS OR SERVICES
The Organiser does not endorse, guarantee or warrant the quality, safety, accuracy, legality or suitability of any product or service displayed, promoted or offered by an exhibitor or other third party.

Any transaction, agreement or business relationship between an Attendee and an exhibitor is solely between those parties.

The Organiser is not a party to such transaction unless expressly stated otherwise.

32. LIABILITY
To the maximum extent permitted by Malaysian law, the Organiser shall not be responsible for:

1. Loss or theft of personal belongings;
2. Damage to personal property;
3. Actions or omissions of exhibitors, sponsors or third parties;
4. Changes to the Event programme;
5. Delays;
6. Postponement or cancellation resulting from circumstances beyond the Organiser’s reasonable
7. control; or
8. Indirect or consequential losses arising from attendance at the Event.

Nothing in this Policy excludes or limits liability that cannot legally be excluded or limited.

33. GOVERNING LAW
This Policy shall be governed by and construed in accordance with the laws of Malaysia.

Any dispute arising from or relating to this Policy shall be subject to the applicable laws and jurisdiction of Malaysia.

34. AMENDMENTS
The Organiser may amend this Policy from time to time to reflect:

1. Changes to the Event;
2. Changes to venue requirements;
3. Changes in applicable laws;
4. Changes in safety requirements;
5. Operational requirements; or
6. Other legitimate Event-management requirements.

The latest version will be published on the official Event website or registration platform.

35. ACCEPTANCE OF THIS POLICY
By registering for, entering or attending the Event, you acknowledge and agree that:

• You have read and understood this General Admission Policy;
• You agree to comply with this Policy;
• You will comply with the rules and regulations of the Event venue;
• You will comply with reasonable instructions from the Organiser and authorised personnel;
• You acknowledge the Organiser’s Event Registration Privacy Notice; and
• You agree to comply with all applicable laws and regulations while attending the Event.
